    Are invoices generated by child or by family?

    • A:

      Invoices are generated by family.

  • Q:

    When does a guardian enter their banking information?

    • A:

      Guardian banking information is collected during enrollment.

  • Q:

    How are guardians notified about payment processing?

    • A:

      SkyChildCare sends an email to guardians when a payment will be processed, when a payment was declined or when a payment is successfully completed.

  • Q:

    How do I pay the credit card and eCheck fees for my center?

    • A:

      All fees are automatically deducted from each transaction deposited in your account.

  • Q:

    How am I notified if a payment does not go through or a card number is incorrect?

    • A:

      SkyChildCare will notify you through the Urgent Messages page inside SkyChildCare.

  • Q:

    Can I issue refunds for credit cards and checks electronically with SkyChildCare?

    • A:

      Only credit card purchases can be refunded. Credit card refunds must be issued before the funds are deposited in your account. We never make any withdrawals from your center’s registered bank account.

    How will I know if there are issues with a guardian’s payment?

    • A:

      SkyChildCare sends you a notification for the following payment events:

      Rejected or Declined payments

      Guardians with credit card accounts that are nearing expiration

      Invalid account information

  • Q:

    How do guardians change their bank account information?

    • A:

      The guardian will contact your center and you can add the new information in the in the Finance tab.

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Click Add Account.

      Enter the appropriate information for the account.

      Click Save New Account.

      This account becomes the active account for the guardian.

    How do I generate an invoice?

    • A:

      Invoices are generated automatically weekly or the first of each month. You can also generate invoices for charges outside of the automatic cycle on the Family Finance screen.

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the guardian from the drop down.

      Select Create Invoice next to Un-Invoiced Charges gird.

      SkyChildCare opens a confirmation window.

      Click OK.

      The invoice is visible in the Outstanding Invoices grid.

    How do i change my billing cycle?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Settings.

      The Manage Billing Cycle screen displays.

      Click Select Weekly Billing switch to weekly billing or click Select Monthly Billing to switch to monthly billing. The visible link will vary depending on the currently selected billing cycle.

    What kind of messages are sent to me about processed payments, missed payments, etc.?

    • A:

      SkyChildCare notifies you for the following payment events:

      Payment that are rejected or declined through ACH

      Parents with credit card accounts that are nearing expiration

    How do parents add or change their bank or credit card information?

    • A:

      Parent billing information is updated in the Finance tab.

      To update an existing account:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      To add a new account:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Click Add Account

      The Add New Account window opens.

      Enter the appropriate information for the account.

      Click Save New Account.

    Can I collect payments outside of a regular billing cycle or for special events?

    • A:

      Yes, SkyChildCare allows you to collect payments outside of the billing cycle.

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Under Un-Invoiced Charges, click Add Charge, Purchase or Apply Credit.

      Complete the information for the charge of purchase.

      Click Save New Charge to charge the account.

    How do I collect credit card payments for charges?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Under Un-Invoiced Charges, click Add Charge, Purchase or Apply Credit.

      The Add Charge, Purchase or Apply Credit window opens.

      Complete the information for the charge or purchase.

      Click Save New Charge to charge the account.

    Can I collect payments outside of a regular billing cycle for things like late fees, merchandise or special events?

    • A:

      Yes, SkyChildCare allows you to collect payments outside of the billing cycle.

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Under Un-Invoiced Charges, click Add Charge, Purchase or Apply Credit.

      The Add Charge, Purchase or Apply Credit window opens.

      Complete the information for the charge or purchase.

      Click Save New Charge to charge the account.

    How do I collect payments if parents do not use automatic billing?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Under Un-Invoiced Charges, click Add Charge, Purchase or Apply Credit.

      The Add Charge, Purchase or Apply Credit window opens.

      Complete the information for the charge of purchase.

      Click Save New Charge to charge the account.

    How are chargeback fees handled?

    • A:

      Chargeback fees are automatically deducted from the amount deposited in your center’s bank account.

  • Q:

    How do I print the center’s monthly statement?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click the Monthly Statements link.

      Select the month from the drop down.

      Your monthly statement displays.

      You can print or export the statement for your records.

    How do I set up automatic payments?

    • A:

      You can set up your account information for automatic payments during enrollment. This information can be updated or changed as needed.

    How do I view payments I have made?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Click the View Archives link above the Summary information grid.

      The Family Tuition Payment History opens and displays your previous payments.

      This information is also visible in the Payments Made grid on the Family Finance screen.

    How do I pay an outstanding invoice?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the parent or guardian from the drop down.

      Under Un-Invoiced Charges, click Add Charge, Purchase or Apply Credit.

      The Add Charge, Purchase or Apply Credit window opens.

      Complete the information for the charge or purchase.

      Click Save New Charge to charge the account.

    How do I view older invoices?

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Scroll down the page to Historical Invoices.

      Click on an invoice to view the information.

    How do I view my transaction history?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Scroll down the page to Payments Made.

      Select a Start Date and an End Date.

      All payments made during this time are visible int he grid.

    How do I view or print a guardian's monthly statement?

    • A:

      Simply follow the steps below:

      Click Finance in the left hand pane.

      Click Family Finance.

      Select the month from the drop down.

      Your monthly statement displays.

      You can print or export the statement for your records.
